Job Summary

  • The Junior Human Resource Executive (i-Ready) supports the day-to-day operational and digital functions of the Learning and Development Unit. The role is responsible for coordinating training logistics, administering the organisation's Learning Management System (LMS), managing L&D-related content on the JPMC SharePoint
    intranet, and producing creative learning materials and communications. This is an operational role designed to
    develop the post-holder's practical HR and L&D competencies within a structured i-Ready development framework.

Educational and Experience Requirements

  • Bachelor's Degree in Learning and Development, Human Resource Management, Communications, or an related field.
  • Any HR, L&D, or digital/design-related qualifications or certifications will be an added advantage.
  • Prior experience in a training administration, HR operations, or content coordination role is preferred but not required.

Principles Duties and Responsibilities

Training Administration & Coordination

  • Receive, process, and track training applications from departments in accordance with L&D Unit
    procedures and policy requirements.
  • Coordinate training programme logistics including venue arrangements, catering, materials preparation,
    and participant communications.
  • Liaise with external training vendors, institutions, and service providers on scheduling, invoicing, and
    delivery requirements.
  • Process training invoices and coordinate with relevant units on training allowance and OSA claim
    submissions.
  • Book training courses, manage participant registration, and maintain accurate attendance records.
  • Prepare and circulate pre- and post-training communications to participants and relevant HODs.
  • Assist with travel documentation for overseas training arrangements including accommodation, air
    tickets, visa, and insurance requirements.

Learning Management System (LMS) Administration

  • Serve as the primary administrator for JPMC's Learning Management System.
  • Manage user accounts, licence allocation, and access rights across the organisation.
  • Curate and update learning content, playlists, and programme assignments on the LMS in line with L&D
    priorities.
  • Monitor course completion rates and generate regular usage and engagement reports for the Head of Unit.
  • Provide first-level support to employees experiencing access or navigation issues on the LMS.
  • Coordinate with the LMS provider on technical matters, system updates, and user experience
    improvements.

The One HUB – SharePoint Intranet Management

  • Maintain and update the L&D Unit's pages on the The One HUB, ensuring content is current, accurate,
    and well-organised.
  • Upload training calendars, programme information, policy documents, and learning resources to the intranet on a timely basis.
  • Coordinate with the HR Department and other units to ensure cross-unit content on the intranet is aligned and consistent.
  • Monitor intranet engagement and flag outdated or inactive content for review and refresh.

Creative Design & Learning Communications

  • Design visually engaging learning materials, training posters, infographics, and digital announcements to support L&D programmes and campaigns.
  • Produce communication materials for internal learning events, training launches, and L&D awarenesinitiatives.
  • Develop simple visual aids, handouts, and e-learning support materials to enhance the accessibility and impact of training content.
  • Ensure all design outputs are consistent with JPMC's branding standards and communication
    guidelines.
  • Proficiency in design tools such as Canva, Adobe Creative Suite, or equivalent software is an advantage.

Records Management & Reporting

  • Maintain accurate and up-to-date training records, including attendance logs, completion data, and certification records, for all JPMC employees.
  • Support the preparation of quarterly and ad hoc L&D reports covering training activity, spend, and participation rates.
  • Ensure training documentation is organised and audit-ready in compliance with JPMC's records management requirements.
  • Assist in tracking mandatory training completion and notify line managers of outstanding requirements.

Compliance & Employee Support

  • Ensure all training applications and processes comply with JPMC's L&D policy and relevant guidelines.
  • Monitor certification validity and coordinate renewal reminders with employees and line managers.
